Administrative Assistant

SUMMARY

The firm’s Administrative Assistant is a customer service pro. The ideal person for this role will be client-friendly, positive-minded, tech-oriented, and loves creating an atmosphere where people feel very well cared for. This person builds trust and confidence with people by providing their full undivided attention, cultivating an air of hospitality, and going out of their way to ensure effective communication and exceptional expectation setting. This person also has the business acumen and perception skills to recognize the indicators of when needs are not being met or when dissatisfaction begins to set in. They can prevent conflicts and minimize frustrations by taking an active role and intervening to promptly address any concerns, ensure clear understanding, and strengthen relationships.

The ideal person for this role is highly motivated to positively impact others, exceptionally upbeat, and is a very organized person with excellent people skills. The Administrative Assistant is often the first person that existing and prospective clients will have contact with! Also, this person in this role is relied upon in various ways by every member of the team. Meaning that this person plays a key role in the firm’s overall success by shaping that critical first impression, building good relationships, and then strengthening those relationships over time. We intentionally invest our energy in creating a high-energy and encouraging environment. The person in this role has one of the most important roles in the entire firm in shaping a positive experience for people.

GENERAL REQUIREMENTS

  • A positive attitude and deep commitment to relationship building, prompt and thorough follow-up, and exceptional customer service
  • Strong interpersonal skills and a warm and friendly demeanor, and perceptive enough to identify potential incongruences such that they intervene to prevent or at least minimize conflicts
  • Above average computer proficiency, with a functional understanding of computers, software, internet, email, copiers/printers, and multiple-line phone systems
  • A strong reliable team player who enjoys working with and assisting others
  • Exceptional organizational skills and meticulous about ensuring the accuracy of details, and understands how to do things right and how to do the right things
  • A hungry, humble, and smart self-starter who is always on the lookout for opportunities to make a positive impact
  • Has the capacity to adapt to fluctuations in the seasonal workflow, with an understanding of how to prioritize effectively
  • Exceptional listening and comprehension skills
  • Motivated to be punctual, hardworking, and dependable
